Learn how to share JoinXR documents and edit sharing permissions.
If you just want to show other users a JoinXR document you have created, simply create a meeting and open the document.
If you want to share a document with others so that they can open it, and even modify it, you need to share the document with them. There are three ways to share documents in JoinXR:
- Share a single document with individual people by adding them to the list of Collaborators
- Share a single document with your entire Organisation
- Share an entire folder of documents with individual people or with your entire Organisation
Anyone shared on a document has either 'Viewer' or 'Editor' access level. The creator of a document is always an Editor, this cannot change unless the document is deleted.
The examples in this article use screenshots from the web portal, which is the best interface for organising and sharing existing documents. However, all sharing functionality is also available in JoinXR Desktop under Document > Properties.
Sharing a document with individual people
Sharing a document with specific people can be done by entering a user's email address in the Collaborator's list, either when you create document, or afterwards.
The following steps show you how to add Collaborators afterwards.
1. Go to join.fracturereality.io
2. Select Documents from the main banner menu
3. Find the document you wish to add Collaborators to and select Edit
4. Enter the email address for the person you would like to add as a collaborator. If they are not already a JoinXR user, they will receive an email to create an account
5. Once a registered Collaborator has been added, it is possible to change them to either Viewer or Editor using the drop-down menu
Sharing a document with your Organization
Any document you are the owner of can be shared with your entire organization by changing the value of the 'Organization Permissions' drop down from 'None' to something else. All users will then see this document in their documents view and, if you have made them Editors, will also be allowed to modify it.
Document access levels

Sharing a whole folder of documents
You can share entire folders with other users, which will give them access to every document inside the folder, and any documents which are later created in or moved to the folder.
This is a useful tool for creating collections of documents (e.g. a training syllabus, or a set of design documents about a single project) which should all have the same set of collaborators.
Just like a document, you can change a folder's sharing setup either when you create it, or by selecting 'edit' from the folder's menu:
In the example above the "New Project Design Documents" folder is changed so that:
- The individual user becomes an editor of the folder and all documents inside it
- Everyone in the XR Corp organization becomes a viewer of the folder and all documents inside it
